We have provided our terms and conditions of entry for Aspects at the National Memorial Arboretum below, along with information on what to expect during your visit, and we encourage you to take responsibility to keep yourself and others safe.

 

Terms and Conditions: 

 

  • Delegates should not attend if they are required to remain in isolation in accordance with government guidelines.
  • Delegates are requested to respect the rules and guidance given.
  • Delegates are asked to respect 2m social distancing at all times towards both other attendees, suppliers, our staff and volunteers.
  • Delegates are asked, unless exempt from doing so, to wear a face covering within areas where face coverings are required.
  • Delegates should follow signs and suggested pathways
  • Delegates are encouraged to wash their hands and use hand sanitiser frequently.
  • If you become unwell during the event, please inform a member of staff who can direct you to our isolation room.

 

 

There have been a number of changes to the services that we can provide to you and we have included them here so you know what to expect during your visit. 

 

  • We will provide delegates with a small personal bottle of hand sanitiser.
  • We have enhanced cleaning in operation in high traffic areas and we encourage delegates to wash or sanitise hands regularly.  
  • Delegates are asked to abide by the guidance given.
  • Delegates will receive a briefing on arrival.
  • Delegates will be seated at individual tables in a classroom layout, or spaced chairs within a theatre layout.  We ask that delegates remain seated within your meeting space as much as possible to reduce the risk of potential transmission. It will not be possible to provide electrical power outlets to each individual table or chair.
  • Our lounge furniture (sofas, armchairs and coffee tables) has been removed to reduce transmission. Lounge use will be strictly for arrivals and departures at the times advised to delegate by their event organiser.

 

 

Unless we have agreed with your event organiser in advance, our staff can no longer provide you with:

 

    • Delegate pads and pens.
    • Sweets
    • Phone chargers, laptop chargers or other cables.
    • Flipchart pads and pens.
    • Extension leads
    • Post-it notes or white tack
    • Photocopying services
    • Cloakroom or storage facilities

 

 

We are providing a new food and beverage offer which will be served by our team to delegates directly.

 

    • If delegates have any dietary requirements or allergies, please make them known to us prior to arrival.
    • Delegate lunch and break service may be staggered, and we may ask delegates to wait. 
    • There may be increased use of single-use plastics during your event. This is a temporary measure during the Covid-19 pandemic and does not affect our long-term commitment to reducing single use products.
    • Delegates will be asked to consume lunch at a seated table which will be socially distanced to 2m.

 

Accessibility to our site remains unaffected. If you have specific access requirements, please make them known to us by calling 01283 245 100, or to your events organiser.

Our 150-acre landscape brimming with natural greenery and inspiring memorials is open between 10am and 5pm (Winter opening hours: 10am and 4pm) and you are free to explore the grounds whilst following current government social distancing guidance. Our team will explain how the rules apply on our site when you arrive.

As an organisation we have considered not only what is permissible, but also what is safe and sensible for your guests to do during your event in Aspects at the National Memorial Arboretum.

 

Restrictions do mean our approach and the services that we offer will be different for considerable time. However, our commitment to providing world-class customer service and award-winning hospitality still stands. What measures have you taken to be Covid-Secure?

We have taken the following steps to ensure your meeting is Covid-Secure: 

  • We have socially distanced all meeting rooms to 2m. This means, you will not be seated closer than 2m to others.
  • We will provide you with a small bottle of individual hand sanitiser for you to use throughout the event. 
  • Every guest is assigned their own chair and table for use.
  • Lounge furniture has been removed to prevent cross-contamination.
  • We have enhanced cleaning schedules in operation.
  • We have removed all unnecessary items from all meeting rooms and communal areas.
  • All meeting rooms and equipment are santised before and after use. 
  • Monodraught ventilation (fresh air supply) will be operated during breaks.
  • We have ensured our team are safe to return to work and are trained in Covid-19 routes of transmission, personal safety and social distancing, use of PPE, symptom reporting and self-isolation. 
  • As per current government guidance, it is mandatory for all guests to register their details for NHS Test and Trace. Every guest will be asked to complete a health declaration before attending. 
  • New menus are in operation and these are delivered boxed or hygiene-wrapped to individuals.

 

Why do I have to register to attend this business meeting?

In line with current government guidance, we require you to pre-register before you attend. 

The registration process will ask for your NHS Test and Trace information which is mandatory, your food choices and any dietary or access requirements you may have. Your data is securely stored for 21 days and then deleted. 

Providing this information to us means that we can provide the right services to you throughout, in a Covid-Secure manner and comply with the mandatory regulations for hosting business meetings.

I have access requirements, how has my experience changed?

We have taken great care to ensure the National Memorial Arboretum and Aspects remain accessible to all.

One way systems are in operation and this may alter your arrival route. A member of staff will greet you at the door and be able to explain which route will be best for you. 

An induction loop is available within Aspects, please make our team aware if you need this facility on your registration form.

Although we are currently unable to hire wheelchairs, a limited number of mobility scooters can be hired for £5 per day. We advise you to register to attend your meeting before booking one.  

What do you do with my data?

The National Memorial Arboretum currently has a legal obligation to collect and store the contact details of all individuals attending events on site for the purposes of Test and Trace.  At the Arboretum we take your privacy very seriously and we will only use the information provided for the purposes of Test and Trace and to facilitate your visit to our site.

We may also contact you retrospectively to ask you to complete a short survey which will help us to evaluate our events and activities. 

Your information will only be shared with relevant test and trace authorities if required. We will hold the personal data you provide for 21 days before destroying it securely. You can contact us to update any information if required by calling 01283 245 100 or email info@thenma.org.uk.

Individuals unable to comply with this request will be unable to participate in the event activities held at the Arboretum.

If you have provided sensitive personal data for the purposes of providing catering and access alterations during your visit, we will ask you to consent to each category of data you have provided. 

Please note data is stored securely and is only accessed by members of the Arboretum team who will use it to provide changes for your visit. All the sensitive personal data provided will be deleted two weeks from the date of your visit.

When do I have to wear a face covering?

Guests are requested to wear a face covering, where able to so, on entry to the Remembrance Centre, Coffee Shop and Far East Prisoners of War Building. 

 

Within Aspects guests should wear a face covering when entering the building and should only remove it when they are seated at their designated chair or table.

 

If you need to move around the room, or visit the facilities, you should put your face covering back on.

Can you store my luggage or other items for me?
We regret at this time we're unable to operate our cloakroom or store things on behalf of guests. 
Can I visit the Arboretum while I'm attending the meeting?

Our 150-acre landscape brimming with natural greenery and inspiring memorials is open between 10am and 5pm and you are free to explore the grounds whilst following current government social distancing guidance. Our team will explain how the rules apply on our site when you arrive.

How many people will be at the meeting?

In accordance with current government guidance no more than 30 people are allowed to attend a business meeting.

This number includes suppliers who are in the room, for example an audio-visual company who are filming your meeting for others who are not present. 

Where can I take a phone call?

All guests are now asked to take phone calls outside of the Aspects building where they can remove their face covering. 

I have forgotten my face covering, what can I do?
Our team will be happy to provide you with a disposable face covering. 
Will there be power to my table for my laptop?
We cannot provide power to every individual table. We urge you to ensure your laptop is fully charged and to bring an alternative mechanism to take notes on. 
Do you supply pens and paper?

All delegate stationery is now single use and if it's left behind in a meeting room it has to be securely disposed of even if it hasn't been used.

For this reason, unless stationery has been pre-booked by your event organiser we are not providing it on the day and we recommend you bring pens and paper with you for use.

Can you provide flipcharts, paper and pens?

We requested that flipcharts, paper and pens are pre-booked by your event organiser to ensure they are sanitised prior to use.

Flipchart paper and pens are now single-use only, so we encourage you to consider carefully if they are necessary items for your event and take them away with you at the end of your meeting. 

I am a speaker for this event, how do I send my presentation?

For ease, we prefer presentations to be emailed 48 hours in advance of your booking to functions@thenma.org.uk. This ensures we have the presentation safely, we can check it is working correctly on our system and we can pre-load it prior to your arrival. 

If you do need to bring your own laptop, please notify our team in advance and we can ensure the correct cables are available for you. If you are bringing your own Macbook, please bring the correct DVI adaptor with you for use on the day.
